People that know me from my previous job, know I did a lot of YouTube videos (600+ in fact 😉)… I found making videos a fun part of my work, so I kind of missed that aspect a bit…

Well I’m back at it!, but not with SAP Business One or B1 Usability Package videos, but instead two passion topics of mine: Productivity and Code.

Productivity Videos

I’ve always been a fan of productivity and whenever I had a tool I was one of those that tinkered and tweaked it to the absolute fullest… One of those tools was Microsoft Outlook and mail/todo-productivity, and for that reason, I’ve made a video series on Outlook Productivity, Tasks, and Zero Inbox. The content of the series took over 10 years of tweaking to get to, and since everyone, I’ve shared my way of working with has adopted the same process I thought it was a good topic for your YouTube video series. Nerd at heart my other passion is Programming, and when I recently created a Trello Open-source NuGet package, it was natural to of cause also make E-learning of the API. That video series can be seen here:

Greatly enjoyed your Outlook Productivity series. Busy working towards zero inbox. My biggest struggle (currently) is dealing with email “tasks” that will generate 5-20 emails over a week (some with different attachments). I’m leaning towards a single task and manually archiving the tasks (and hoping the Outlook conversation/search related feature will allow me to follow the chain if necessary).

If you have any special thoughts I would appreciate them!

Thank you for the comment 🙂 I’m a bit unsure where the issue is exactly (too many tasks or the fact that they have attactments somehow???)

The system does not magically solve the issue of too much work, and grouping them in single tasks so it feels less does not really solve that.

So perhaps you need to delegate some of the tasks more (none of us have more than 24 hours), or block some dedicated time/day that are dedicated to the tasks

But if you write a bit more on what the pain it more specifically I might be able to give further tips if better understood

Or are we talking about having a single email with multiple tasks within it? In such a case (though never really needed to split out like that myself), the email can be a task attachment (+ any of the relevant attachments from org mail)… It will be email copies but a least each to find original having exact name and send date in the copy)

My pain lies in the need to have multiple back & forth communications for a single task. Currently I keep them in a conversation in the Inbox so the history is visible automatically. The “Task” only opens the email as as the time the task was created with no indication there are additional related emails. Example:

1) Client emails request (with part of the information)
2) I use the Quick Step to create a task and archive the email
3) I find the just archived email and respond to it requesting additional info to keep the customer email chain intact (Task knows nothing about this)
4) Client responds with additional information (but not all)
5) Client responds again with additional information
6) I want to respond to client but need to find the most current email in the chain

Thank for clarifying… Outlook have a built in feature for that called Related > Messages in this conversation (one ekstra click though)

This will work just fine (even across folders) . Using the 80/20 rule I will only need this on the 20% of emails.

Another Outlook trick that very few knows, is that you can edit the text of a received email and add comments and status… I often used that to keep track on my own status, extra notes, and so on, so I did not have to go through older emails…

Finally… On rare occasions, I did keep a high priority/often worked on mails in the Inbox temporarily (it is not illegal, just don’t make it a habit), but instead always archived older versions of the email only having the latest reply (then using the Find related function)

I just saw your task splitting response. That could also apply as we often receive multiple issues within a single email.

OK… The best approach IMHO here is to train the customer/colleague/business partner to send multiple emails if the task is unrelated (sounds scary to “correct” the behavior of someone else, but it is for their own good to get a better service level from your)… Alternatively, forward the mail to yourself x number of times for each task so you can have multiple flags or try the previously suggested
